Pros and Cons of a Public Cloud Phone System

Cloud

Cloud phone systems are growing in popularity for their ease of access and flexibility. As a VoIP based service, cloud phone solutions can be purchased online without the need to host the service on-site. It also doesn’t rely on local telephony providers or traditional landline installations.

As a subscription based service, it’s ideal for cutting costs and overcoming infrastructure challenges. But, it does have its drawbacks. If your business is interested in a cloud phone system solution, here are a few positives and negatives to first consider.

Pros

Again, one of the big highlights is cost cutting. Best for small businesses, public cloud phones overcome long distance charges or pay-by-use obligations (depending on the provider), instead charging a single flat fee. It also eliminates the need for maintenance and updates, which incur heavy bills themselves. While it depends on the provider, you’ll find most VoIP cloud phone solutions don’t charge the same minute rate as others.

There’s also remote working potential and mobile communication advantages too. An employee can plug their telephone device into their laptop or PC, connect to the company network and, by proxy, the company cloud phone system. This lets the person make calls from there without physical limitations, lending to increased efficiency across the board. It also reduces costs related to pricey hardware installations and physical infrastructure.

Additionally, providers are always available with customer service for quick problem solutions and house all necessary hardware offsite. This relieves the burden for small businesses but gives them the advantage of a flexible phone system.

Cons

Although there’s an overall cost reduction, there is still the need for a degree of investment before utilizing a cloud phone service option. This requires compatible hardware, IP phones (a special phone for Internet-based connections), and proper server space.

It’s also important to note the connection type itself. All of this relies on a proper Internet connection with reliable speeds. It also needs consistent connection integrity. If your business experiences routine interruptions or downtime with its ISP, the phone system suffers too. Additionally, remote areas with weaker Internet will suffer lower quality calls, removing the cloud-based advantage entirely.

There’s also concern for security, since public clouds can be accessed by anyone if not regulated properly. Therefore, utilizing a provider with a solid reputation for security with multiple ways to protect data and information is crucial. Otherwise you risk exposing your company network to unwanted parties and potential data breaches.

It’s worth noting that this solution is not necessarily the best fit for all companies. The benefits listed above primarily help mid-sized to small organizations the most, as larger business have greater call demand and need for infrastructure.

Ultimately, it’s important to look at the provider for stability and the company network for compatibility. If the provider for the system is secure, offers stable rates, has server redundancy, and has backup, it’s probably a good choice.

If your business has reliable Internet, uses phones sparingly, and wants to shirk the rising costs of traditional phone connections, a cloud-based phone service might be right for you.
